3 Ways to use VITLAccess for Efficient Patient Intake
December 8, 2025
ResourcesNew patients don’t always come to your practice with a complete medical record. VITLAccess can bridge that critical information gap, giving your team access to comprehensive medical records to prepare for an efficient, focused first appointment. Below we share three ideas, inspired by other VITLAccess users, on how to integrate the VITLAccess Provider Portal into your workflow.
1: When You’re Short on Time: The Summary Tab

When you first pull up a patient record in VITLAccess, you’ll see the Summary Tab. If you are short on time, you can log in, find the patient, and scan their medical history in three minutes or less. Find information that can serve as a foundation for your initial patient interaction, and enter them into your electronic health record (EHR) system when time allows.
2: Planning Ahead: Inform the Team
If you have more time prior to the new patient’s appointment, your team can securely share patient chart information from VITLAccess. Knowing what type of patient information is important for that first visit, a team member can log in to VITLAccess, download pdfs of that information — medications, allergies, immunizations, test results, screenings, encounters, and more — and either securely share the attachments or add them to the patient record in your EHR.

3: Care Team at your Fingertips
VITLAccess can facilitate smoother transitions for new patients by enabling your practice to easily identify previous or other care providers. This information helps your team quickly find the right provider(s) to contact for additional details or records, saving time and effort in coordinating care.
Spending a few minutes with VITLAccess to help with pre-visit planning can pay dividends. Less time faxing, emailing, researching, hunting, and focused on a computer = more time providing patient care.
